Administration/General Management: Administrative/Executive Assistant
Administrative Assistant, Revenue - Atlanta Hawks & Philips Arena (Atlanta, GA)

THE ROLE:  ATL Hawks, LLC have an immediate opening for an Administrative Assistant in the corporate offices located in downtown Atlanta.

The Administrative Assistant will be one of the main administrative points of contact for the Corporate Partnerships and Business Development, Revenue Integration, Suite and Ticket Sales departments. Reporting directly to the EVP & Chief Revenue Officer, this position will be responsible for answering questions in-person and by phone, directing calls in a prompt, decisive and courteous manner, exhibiting good business acumen, using good judgment and providing excellent customer service to internal and external clients. This position will provide significant administrative support to include copying, record keeping, data entry, calendar maintenance, scheduling, arranging travel arrangements and more. Ability to maintain attention to detail and to produce high-quality, accurate work within designated timeframe or deadline.

RESPONSIBILITIES:

  • Provide administrative support to the EVP & Chief Revenue Officer to include screening telephone calls, visitors and mail, processing client ticket requests, maintaining filing s and correspondence, making travel arrangements, maintaining calendars and coordinating meetings (set-up, catering, visitor access, parking, etc.)
  • Schedule internal and external meetings, secure conference rooms and all related logistics, produce meeting agendas, presentation materials and all other related items
  • Coordinate and oversee general office needs for department (stationary, office supplies, business cards, special projects, etc.)
  • Administer contact strategy including a handwritten note within 24 hours after the meeting and client data lists
  • Maintain a positive rapport with clients and vendors and provide assistance and details as needed
  • Represent company at highly visible and prestigious events and serve as an event host as required
  • Process invoices in accordance to Accounting policies, procedures and deadlines
  • Process expense reports for CRO in a timely and accurate manner
  • Develop in-game/concert meet and greets for Chief Revenue Officer
  • Coordinate ownership recap upon conclusion of visit
  • Record meeting discussions (i.e. Weekly Sales & Marketing meeting) and memorialize meeting notes with distribution to list in a timely manner
  • Assist with managing promotional item inventory
  • Other duties and projects as assigned
  • Perform various other special project duties or tasks as may be assigned from time to time

QUALIFICATIONS:

  • High school diploma / GED required; college coursework preferred
  • Minimum five (5) years of experience providing administrative support to senior executives preferred
  • Experience in multi-purpose venue preferred
  • Strong computer skills including Microsoft Office
  • Excellent verbal and written communication skills including grammatical, editing and proof reading skills
  • Strong organizational skills, detail oriented
  • Basic understanding of accounting principles

Coordinator, Community Basketball Programs - Atlanta Hawks & Philips Arena (Atlanta, GA)

RESPONSIBILITIES/DUTIES:

  • Execute Atlanta Hawks Summer Partner Clinic Tour, Presented by Kroger
    • Prospect community for tour stops and clinics. Book 35-40 clinics per summer
    • Oversee the scheduling of part-time basketball development staff for each event
    • Serve as on-site coordinator for each event
    • Provide recaps and track revenue for each tour stop. Work closely with group sales to maximize ticket sales opportunities
  • Assist with the development and execution of the Atlanta Hawks Middle School Basketball Tournament
    • Prospect local basketball teams to participate and coordinate tournament logistics
    • Assist with connecting group sales  and marketing to the project for maximum exposure and sales
  • Help with the creation and operation of the Atlanta Hawks MLK Weekend Community Basketball Event activation
    • Coordinate the logistical details for all participating teams.
    • Assist with communication to teams and event execution.
  • Provide support for Atlanta Hawks Summer Basketball Camps; make pre-camp site visits to each location, meet with facility directors, order  camp uniforms and giveaway items, track of inventory and  assist with adherence to program budget and assist with the recap of each camp on Hawks social media pages.
  • Assist with execution of Atlanta Hawks Affiliate League Program event activation. To include, Hawks Coaches Clinic, League All-Star Events and Clinics. Prospect new community league partners and aide in program growth.
  • Collaborate with sales departments and CSR to execute and host various VIP season ticket member and community events to include but not limited to fantasy camps, Member open gyms and tournaments, court dedication ceremonies and NBA Fit clinics.
  • Assist with the execution of all seasonal youth basketball clinics. To include communication with participants, ordering of promotional items, staffing responsibilities and event execution.
  • Maintain an inventory of all basketball development equipment, promotional items and uniforms.
  • Execute various basketball promotional event appearances with the assistance of the basketball development team. To include but not be limited to sponsorship activations with Georgia High School Association, YMCA, Parks  Recreation Authority, MJCCA, Suwanee Sports Academy, Lake Pointe, Life Time Fitness, Coke, Sun Trust, Game Plan Financial, Kia, etc.
  • Coordinate efforts with Georgia Positive Athlete, The National Council on Youth Sports Safety, and Positive Coaches Alliance in conjunction with Atlanta Hawks CSR initiatives.
  • Assist in the day-to-day training and management of all department interns.
  • Work with Marketing Department to coordinate Hawks vehicle fleet & approved driver assignments. Load vehicles for basketball event activations. Manage off-site storage warehouse organization as it pertains to Basketball Development elements, resources, uniforms and equipment.
  • Other duties as assigned.

 

QUALIFICATIONS:

  • Undergraduate degree required
  • Experience as basketball player, coach, and camp director desired
  • Experience in public speaking, event management, and sales desired
  • Experience in social media preferred (Facebook, Twitter, Instagram)
  • Good organizational, communication and time management skills
  • Ability to manage multiple events, create relationships and meet deadlines
  • Ability to work well independently and as part of a team

Director - Creative Services (One Year Contract) - Atlanta Hawks & Philips Arena (Atlanta, GA)

THE ROLE: The Director of Creative Services will play a lead role in the Management of the Creative Services Department, managing a staff of three full-time designers and freelance support, and overseeing the Design and Production of all print and electronic creative materials for the Atlanta Hawks and Philips Arena.  Ideal candidate will have extensive design and project management experience.  This position will be a one-year contract position.

RESPONSIBILITIES:

·        Manage, supervise and provide creative direction and leadership for all Full and part-time Creative Services staff members.
·        Lead in the planning, design, layout and production of all printed materials for the Atlanta Hawks and Philips Arena, including, but not limited to, game programs, brochures, season tickets, quarterly magazines, media guides, posters, arena signage and other marketing collateral materials. 
·        Lead in the planning, layout, design and execution of online and electronic media for the Atlanta Hawks and Philips Arena, including, but not limited to, web site design, electronic billboards, email graphics and other electronic media. 
·        Assign Creative Services projects and manage production process from inception to timely execution and delivery of projects for all internal and external clients.
·        Work with multiple team and arena departments including marketing, sales, and corporate partnerships in creating design concepts that meet the business objectives of the organization and partners.
·        Manage cross departmental projects and ability to design for multiple print and electronic formats and mediums. 
·        Work with Agency of record to establish best practices of brand standards.
·        Effectively share creative materials with media partners, agency and across company departments.
·        Work with all company departments to communicate consistent brand standards across all  print and electronic platforms
·        Hiring of freelance designers and other support staff.
·        Plans, develops and manages departmental budget.

·        Manage relationships with existing vendors and develop new contacts to maximize efficiencies and ensure cost control.

QUALIFICATIONS:

  • Four-year college degree with concentration in design preferred.
  • Extensive working knowledge of Adobe Create Suite, with particular focus on Photoshop, Illustrator, and In Design.
  • At least 5 years experience working in a creative environment, advertising/marketing firm or related experience.  Knowledge and enthusiasm for professional sports preferred.
  • Preferred candidate will have minimum two years experience managing other creative personnel such as designers and production artists.
  • Experience and knowledge of the print production process required
  • Experience and knowledge of web production process required.  Understanding principles of writing code beneficial.
  • Understanding of video production process and ability to work with video editors and motion graphics designs.
  • Strong writing and communications skills a must

RESPONSIBILITIES:

  • Perform on court basketball instruction at basketball camps and clinics hosted by The Atlanta Hawks Basketball Development Team
  • Assist with planning, programming and execution of Atlanta Hawks Basketball Development Events (Ex. camps, clinics, tournaments, leagues, skills challenges, contests, etc.)
  • Assist with the organization and execution of youth and adult basketball tournaments
  • Assist with prospecting Atlanta Hawks Affiliate Program Partners. Develop, build and maintain relationships with basketball directors at churches, recreation centers, community organizations, and scholastic basketball programs.
  • Help generate leads on potential clients for summer basketball camps.
  • Transport basketball equipment to and from events utilizing the marketing vehicle fleet. Ensure brand awareness at events. Valid driver’s license Required.
  • Assist with basketball related sponsorship activations with community and corporate partners including GHSA State Tournament, YMCA, MJCCA, Suwanee Sports Academy, Lake Point, and Life Time Fitness.
  • Assist with capturing video and photos at basketball development related events.
  • Work to enhance Atlanta Hawks Basketball Development programs social media presence in efforts to promote and market events.
  • Work with Hawks Alumni and NBA Alumni through community basketball programs in an effort to promote the Hawks brand and enhance alumni and community relations.

 

QUALIFICATIONS:

  • Undergraduate degree preferred
  • Experience playing and/or coaching basketball required
  • Prior experience working camps, clinics, tournaments  is preferred
  • Must be comfortable managing people and enjoy public speaking
  • Must be organized, punctual, and pay attention to detail. Team Player mentality.
  • Social Media savvy individuals preferred. Proficient with Facebook and Twitter

THE ROLE:  This is a part-time seasonal position within the Atlanta Hawks Event Marketing Department. The Hawks are looking for positive and upbeat candidates to join our event activation team, the Atlanta Hawks Flight Crew. Members of the Flight Crew are tasked with communicating the teams’ marketing message and building Hawks hype throughout the community and during Hawks home games. This group of brand ambassadors will work at various events around metro Atlanta and inside Philips Arena to support and execute special projects and promotions.

RESPONSIBILITIES:

  • Promote the Atlanta Hawks at various events throughout the season, including fairs, festivals, sporting events, parades, concerts, Hawks home games, and more.
  • Interact with fans of all ages to educate/inform the community of the Hawks marketing messages (ticket updates, ticket offers, team information, playoff information, etc.).

Sr. Coordinator, Email Marketing - Atlanta Hawks & Philips Arena (Atlanta, GA)

The Direct Marketing  Sr. Coordinator  will be responsible for tactical execution of Hawks and Philips Arena B2C and B2B email, SMS, marketing campaigns, and various projects.  The ideal candidate will have at least 2 years of experience executing email marketing, campaigns and related functions (including reporting, database management, and content development).

 

Candidate will report to the head of the Direct Marketing department.  Candidate will be responsible for: 

  • Managing enterprise email & SMS marketing programs; process flows (design, messaging, seeking approvals, list development, metrics and reporting, testing, execution, etc.)
  • Implementing and advising on email and SMS features and capabilities including targeting, personalization, database segmentation, APIs and templates 
  • Developing and implementing short and long-term email and SMS marketing strategies to grow sales, brand affinity, fan excitement, and sales leads (supporting the goals of multiple departments across the organization)
  • Leveraging existing market knowledge, buyer behavior, segmentation data, and historical campaign results to build email messages to deliver channel objectives
  • Managing the content plan for the weekly email newsletter
  • Using existing data or surveys to makes recommendations on improving email performance relative to core metrics: open rates, CTR, opt-in/out, revenue, lead generation, and brand health measures
  • Monthly email and SMS performance reporting
  • Coordinating with the research and analytics team to identify customer needs and opportunities
  • Coordinating daily with the graphic design team to build campaigns and creative as needed
  • Staying current with best practices, strategies, industry standards, and regulations (CAN-SPAM) related to direct marketing (email, SMS, direct mail, database marketing)
