AR/AP Accounting Coordinator - Atlanta Hawks and Philips Arena (Atlanta, GA)

JOB SUMMARY

This position is responsible for assisting in collecting, recording and disseminating information, related to accounts payable and receivable.

RESPONSIBILITIES/DUTIES:        

  • Prepare and review daily AP batches, download files from online system
  • Key manual payment requests into AP subledger and prepare check runs for mailing
  • Record petty cash transactions and wires sent in the AP subledger
  • Assist with the maintenance of Certify (online expense reporting) and API (online Accounts Payable) systems, including but not limited to responding to user questions and issues timely as well as training new users
  • Review API resolution queues daily, resolve issues or route documents
  • Identifies and investigates any issues with provider bills and obtains mutual resolution of discrepancies.
  • Reports any unresolved disputes with vendors to management for resolution.
  • Maintains accurate record of all W-9 information and ensures all W-9 information is in place prior to issuing payment.
  • Assist with the preparation of annual 1099 forms.
  • Assist with the Maintenance of customer and vendor files
  • Process and post daily cash receipts via lockbox
  • Respond to customer inquiries in a timely manner
  • Resolve collections issues, prepare and send past due notices and statements

 QUALIFICATIONS:

  • Bachelor’s degree in Accounting, preferred.
  • 1-2 years of relevant accounting experience, including responsibilities encompassing accounts payable and receivable
  • Able to handle deadlines in a constantly evolving fast paced environment
  • Attention to detail and ability to maintain a high level of accuracy
  • Effective analytical and problem solving skills, plus demonstrate drive and a willingness to take ownership for tasks and responsibilities

JOB SUMMARY

This position is responsible for assisting in collecting, recording and disseminating accounting and financial information, related to assigned areas.

RESPONSIBILITIES/DUTIES:        

  • Review and Approve Accounts Payable (API online system) and Expense Reports (Certify online system) for assigned departments

  • Analyze and record revenue and expenses related to Food & Beverage, invoicing third party providers as necessary

  • Analyze and record revenue related to parking, including providing sales data to third party operator, reviewing monthly parking reports, and invoicing as deemed necessary

  • Record Special Event Merchandise revenue and prepare related vendor payments

  • Reconcile inventory subledgers to the general ledger, preparing monthly entries as needed related to event/non-event retail sales, web sales, and cost of goods sold.
  • Review and balance intercompany accounts

  • Participate in the Month-End Close Process and perform general accounting functions, such as proposing journal entries, generating general ledger reports, preparing balance sheet reconciliations for assigned accounts as well as the Company’s Foundation
  • Provide information to External Reporting group related to League Reporting Requirements

  • Assist with audits, preparing audit schedules as needed

 QUALIFICATIONS:

Throughout the program individuals will be responsible for an individual quota and top performers will be given the ability to advance their sports career internally or externally. As a whole, the department acts as a feeder system to all senior level sales and service positions, as career growth is the main objective of the program.  The extensive training program that occurs over the duration of one’s tenure will provide one with all the tools to grow their professional and sales skill sets.

RESPONSIBILITIES/DUTIES:

  • Sell a full menu of ticket products for the Atlanta Hawks via phone and face-to-face presentations.  Including, but not limited, to full and partial ticketing packages, premium tickets, group tickets, and premium hospitality packages.
  • Meet or exceed weekly, monthly and annual individual performance goals.
  • Set and complete out of office sales appointments, as well as conduct in-arena appointments to close new business.
  • Making outbound sales calls each day with the goal of generating new ticket revenue.
  • Maintaining records of all sales prospecting and customer conversations with our CRM system.
  • Must be able to work evenings and weekends, as required.  All Atlanta Hawks home games will be worked in various capacities including, but not limited to:  prospecting appointments, sales tables, and game events.

The Atlanta Hawks & Philips Arena are looking for a rock star Benefits Manager to  administer all of its employee benefits plans, including facilitating open enrollment and managing vendor and broker relationships.  This role develops, recommends and implements new employee benefit plans and policies, as well as modifications to existing plans and policies.

The Benefits Manager facilitates regular plan utilization reviews to reduce costs and prepare for annual plan renewal processes. This role performs analysis of renewal costs, recommends plan changes to manage costs and prepares executive summary for the Company’s Vice President of Human Resources and the Chief Operating Officer.  

In addition, the Benefits Manager oversees the Company’s Perks & Discounts program including administration of existing programs, as well as sourcing and implementing new programs.

The Atlanta Hawks Basketball Club is looking for a Digital Designer to support our HawksShop.com website and retail team. You will report directly to our Sr. Director of Merchandising to conceptualize and design content for our e-commerce business and Hawks Shop retail stores. The Digital Designer must be able to work successfully within a team setting that includes collaboration with outside vendors as well as internal team members in Marketing, Ecommerce, CRM, and Creative Services.

GRAPHIC DESIGN RESPONSIBILITIES:

  • Design site assets (landing pages and hero images) and creative that meets business and customer needs.
  • Design monthly/seasonal content pages based on creative briefs and design direction from the Sr. Director of Merchandising and Creative Director.

Manager, Event, Event & Practice Facility Safety and Security - Atlanta Hawks Basketball Club & Philips Arena (Atlanta, GA)

ROLE: Reporting to the Director of Security& Safety, the Manager, Event & Facility Safety & Security provides oversight and supervision of security personnel and supervisors and is responsible for implementing, maintaining, and updating security policies, programs, procedures and systems designed to protect the physical assets of Philips Arena and the Atlanta Hawks. Also, this Manager facilitates the process of providing a safe and secure environment for all Philips Arena and Emory Sports Medicine Complex guests, tenants, employees, vendors and contractors.

RESPONSIBILITIES/DUTIES:  

  • Provide effective leadership in regard to the security planning and management for all events at Philips Arena & Emory Sports Medicine Center to include collaboration with other departments, security advances, providing security briefing and deployment sheets for each event, evaluation and coaching of staff and appropriate reward and recognition
  • Serves as Manager on Duty for Event Security and Special Operations Command Center (SOCC) for events by executing security advances, creating briefing sheets,
  • Recruit, interview, select, and train security personnel. Ensure security personnel is an effective team supplied to best support strategic goals while maintaining the highest level of industry standards applying to safety and security
  • Manages both full-time and part time security supervisors and officers for the following shifts 1st, 2nd,3rd and Event Shifts

  • Supports, operates and monitors Avigilon Camera System, DSX Access Control System, LiveSafe and other departmental procedures and processes
  • Conduct investigation of accidents and criminal acts of personnel or property in Philips Arena & Emory Sports Medicine Complex
  • Collaborate with management and security officials to develop training programs, employee safety presentations, practical exercises and tabletops to ensure that our operating procedures are provided for internal and external guests
  • Collaborate with 3rd party agencies/promoters to determine security needs for events and to build security advances
  • Communicate and participate in security measures for high-profile government officials; working hand-in-hand with FBI and CIA, and maintain a positive relationship with all Metro enforcement agencies as well as the APD
  • Coordinates and provides event communication and event ingress/egress process to local and federal Law Enforcement, Traffic Management and neighboring businesses
  • Represent and participate in appropriate committee activities in addition to attending weekly meetings. Coordinate and assist Director, Safety and Security with all Security needs directly relating to Philips Arena and the Emory Sports Medicine Complex
  • Responsible for Emergency preparedness by maintaining a working knowledge of all emergency policies, procedures and regulations
  • Review and evaluate reports prepared by security staff regarding investigations of theft, accidents and safety violations
  • Collaborate with other departments to ensure delivery of quality services and resolve operational problems, and having the building ready and opened at a designated time
  • Conduct departmental meetings with security personnel
  • Enforce and uphold integrity of Philips Arena & Emory Sports Medicine Complex property and facilities during events and on a continuous 24 hour basis

QUALIFICATIONS:

  • Bachelor’s degree is preferred; however, an equivalent combination of education and experience will also be given consideration
  • Four years or more of event or related professional experience managing full-time and part-time staff preferably within the Sports and Entertainment Industry experience
  • Excellent written and verbal communication skills, as well as effective interpersonal skills
  • Knowledge of human behavior, including crowd management principles and the ability to implement effective crowd control techniques as necessary
  • Must be detail-oriented and organized with an ability to multi tasks and adapt to change
  • Ability to provide training and directions to Security personnel within the department
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook), CCTV and access control systems
  • Must be able to pass a criminal background check, motor vehicle check and previous employment check prior to employment

  • Maintain thorough knowledge for all event security posts while meeting all department standards as outlined in the Event Security Policies and Procedures Manual

Part Time Traffic Ambassador - Atlanta Hawks & Philips Arena (Atlanta, GA)

Responsible for supervising and coordinating activities of the Parking & Traffic Staff of the venue, who fulfill roles as Parking Lot Attendants and Traffic Controllers. Supervisor will be expected to oversee staff in tasks in either or both of these areas. Duties may also include management functions.

RESPONSIBILITIES/DUTIES:  

  • Direct pedestrians to and from Philips Arena by controlling movements at various crosswalks while using hand signals, traffic wands or flashlights as necessary
  • Provide guests with directional assistance to and from venue, vehicles, designated drop-off/pick-up zones
  • Maintains all equipment from check-in until check-out to include vests, light wands, radios and any other provided traffic equipment
  • Lift, position, and remove barricades, signage, cones and other equipment to open or close pedestrian traffic.
  • Responsible for ensuring that all equipment and signage is properly placed and collected before, during and after events
  • Inspects parking lots before each event at Philips Arena to ensure a safe and efficient operation
  • Patrol parking lots during Philips Arena events to monitor for theft or otherwise unsafe conditions
  • Keep parking areas clean and orderly to ensure that space usage is maximized
  • Participate in department trainings and staff briefings in order to be well-informed and prepared to execute event-specific duties and needs for all Philips Arena events
  • Display all guest services standards as delivered through SMILE 2.0 trainings to include greeting, directing and assisting guests and reporting customer inquiries and complaints to management
  • Assist Director, Safety and Security and Traffic Coordinator to ensure compliance with all safety, health and security policies and procedures, as well as local, state, and federal laws and Perform other duties as assigned by Supervisor and not otherwise prohibited by Law or Company

THE ROLE:  This is a part-time seasonal position within the Atlanta Hawks Fan Experience Department. The Hawks are looking for positive and upbeat performers to join the Atlanta Hawks Flight Crew.  Members of the Flight Crew energize the crowd and help enhance fan experiences at all Atlanta Hawks home games throughout the NBA season.   

RESPONSIBILITIES:

  • Create a fun, loud, and positive atmosphere before, during, and after all Hawks home games
  • Interact with fans using our model of service, SMILE (Southern Hospitality, Make a Moment, Individuals Matter, Loyalty, Empowerment)
  • Enhance the fan experience with a variety of assets, including giveaways, noise makers, signs and other props
  • Lead fans in chants and contests
  • Distribute promotional materials in and out of the arena

Trainees are expected to work at least 37.5 hours per week and may have additional game day/event responsibilities (depending on department assignments). RESPONSIBILITIES/DUTIES:

  • Assist with activation at Jr Hawks and Jr NBA events
  • Assist with on court coaching at community basketball programs
  • Assist with daily administrative tasks to aide in planning, promotion and execution of basketball programs.
  • Assist with event load-ins and load-outs
  • Assist with media content capture at basketball program events

  • The 2017-2018 Trainee Program will run from September through April (end of season).
