Administration/General Management: Administrative/Executive Assistant
Assistant, Corporate Partnership Sales - Atlanta Hawks Basketball Club (Atlanta, GA)

THE ROLE:

The Assistant, Corporate Partnership Sales will be one of the main points of contact for the Corporate Partnerships Sales team and Business Development team. Reporting directly to the Senior Vice President, Corporate Partnerships, this position will be responsible for answering questions in-person and by phone, directing calls in a prompt, decisive and courteous manner, exhibiting solid business acumen, using good judgment and providing excellent customer service to both internal and external clients. This position will also provide significant administrative support to include intensive record/database keeping, data entry and updates, calendar and schedule maintenance, arranging travel and more. Ability to work independently, keep department organized and on track, remain focused and have proven extraordinary attention to detail at all times is paramount.

 

RESPONSIBILITIES:

  • Provide comprehensive support to the SVP, Corporate Partnerships to include upkeep of client database, screening of telephone calls, visitors and correspondence (both electronic and traditional), maintaining filings, making travel arrangements, maintaining calendars and coordinating meetings (set-up, catering, visitor access, parking, etc.); this position will ensure all runs smoothly at all times for the SVP
  • Work directly with the Corporate Partner Sales team and Business Development team to manage status reports on goals and business planning within the Corporate Partnerships department
  • Administer client and contact strategy including keeping excellent notes and data on contacts; manage next steps and recaps following each meeting
  • Develop client touch points prior to and post meetings, games, events and other opportunities as needed
  • Manage the contact database for the SVP, Corporate Partnerships and coordinate communications to contacts as needed
  • Schedule internal and external meetings, secure conference rooms and all related logistics, produce meeting agendas, presentation materials and all other related items
  • Coordinate and oversee general office needs for department (stationary, office supplies, business cards, etc.)
  • Coordinate client services for the SVP, Corporate Partnerships including ticket requests, parking, reservations, etc.
  • Maintain a positive rapport with clients and vendors and provide assistance and details as needed
  • Process invoices in accordance to Accounting policies, procedures and deadlines
  • Process expense reports in a timely and accurate manner
  • Develop in-gamen meet and greets for SVP, Corporate Partnerships and maintain an up-to-date record of contacts in attendance at all events
  • Other duties and projects as assigned
  • Perform various other special project duties or tasks as may be assigned from time to time

 

QUALIFICATIONS:

  • Bachelor degree or higher
  • Minimum three (3) years of experience providing comprehensive support to senior level executives required; additional years of experience are a plus
  • Preferred experience in client-facing and customer service positions
  • Ability to think creatively, while still being business minded and focused
  • Strong computer skills with heavy experience using Microsoft Office products such as Outlook, Word and Excel; database management software/CRM systems is a plus
  • Excellent verbal and written communication skills including grammatical, editing and proofreading skills
  • Ability to work with internal and external clients with a positive, customer service-oriented attitude, while getting tasks completed in a swift and quality manner

RESPONSIBILITIES/DUTIES:

  • Sell a full menu of ticket products for the Atlanta Hawks via phone and face-to-face presentations.  Including, but not limited, to full and partial ticketing packages, premium tickets, group tickets, and premium hospitality packages.
  • Meet or exceed weekly, monthly and annual individual performance goals.
  • Set and complete out of office sales appointments, as well as conduct in-arena appointments to close new business.
  • Making outbound sales calls each day with the goal of generating new ticket revenue.
  • Maintaining records of all sales prospecting and customer conversations with our CRM system.

Executive Assistant to the General Manager - Atlanta Hawks Basketball Club (Atlanta, GA)

The Atlanta Hawks Basketball Club is looking for a experienced administrative professional to join the team as an Executive Assistant to the General Manager.

Under the leadership of the General Manager, the Executive Assistant will perform administrative duties and provide executive-level support; assist in the day-to-day operations of the Atlanta Hawks front office and work on special projects as assigned.

In this role, the Executive Assistant will be responsible for:  

  • Providing administrative support to the General Manager, which will include, but not limited to answering and filtering incoming calls, correspondence, research and schedule management

  • Coordinating all aspects of travel, including: travel schedule, hotel accommodations and transportation

  • Managing master calendar for the department

  • Processing expense reports in a timely and accurate manner and managing expense approvals and invoicing

  • Overseeing all aspects of the team’s family room, including: access and passes, catering, childcare, game night issues and concerns

  • Organizing and assisting with theLady Hawks program, including: events, budget, gifts, and all-star arrangements

  • Providing game night support for all 41 home games, plus pre-season and playoffs

Part-Time Flight Crew - Atlanta Hawks Basketball Club (Atlanta, GA)

THE ROLE:  This is a part-time, seasonal position within the Atlanta Hawks Fan Experience Department. The Hawks are looking for positive and upbeat candidates to join the Hawks Flight Crew.  Members of the Flight Crew are tasked with uniting and empowering people to create extraordinary moments for those guests they encounter both in and out of Philips Arena.  During the NBA season, the Flight Crew will energize the crowd and help enhance the fan experience at all Hawks home games.   The Flight Crew also serves as brand ambassadors at over 200 events around metro Atlanta, including fairs, festivals, races, sponsor/partner events, and more.

RESPONSIBILITIES:

  • Create a fun, loud, and positive atmosphere during all Hawks home games by interacting with fans, tossing giveaways to the crowd, encouraging fans to make noise, and more.
  • Promote the Atlanta Hawks at various events throughout the season, including fairs, festivals, sporting events, parades, concerts, and more.
  • Interact with fans of all ages to educate/inform the community of important Hawks messages (specific promotions, ticket updates/offer, team information, playoff information, etc.).
  • Ability to arrive 3 hours prior to tip off (during home games) and 1 hour prior to event start (for out of arena events), unless otherwise noted.
  • Responsible for set-up and breakdown of all out of arena and in-game Flight Crew events.
  • Assist with organization and maintenance of the storage unit.
  • Responsible for data cultivation through online entries.
  • Represent the brand.

QUALIFICATIONS:

  • Ability to work 2016-2017 Atlanta Hawks home games (schedule coming soon)
  • Must have a valid driver’s license and reliable transportation

Specialist, Customer Service - Atlanta Hawks Basketball Club (Atlanta, GA)

THE ROLE: The Specialist of Customer Service joins the Customer Service Department Management team to supervise 2 full-time and 6 part-time administrative staff.  This role serves as Manager-on-Duty for concerts and games, managing up to 250-300 staff and operational procedures. In addition, this role coordinates critical components of event operations and regularly assesses department operations, procedures and systems.  The specialist conducts new hire and refresher trainings, in addition to serving as a lead on other initiatives geared toward the development of a customer-focused environment.

RESPONSIBILITIES:

  • Exercises direct or functional supervision over support and event staff
    • Responsible for supervision of the entire department in the absence of, or in addition to, Manager of Customer Service
  • Coordinates department operations such as scheduling, deployment of event staff and payroll
  • Coordinates and supervises event-payroll process and associated staff and submits payroll reports by deadline
  • Resolves escalated customer service matters promptly and appropriately, creating life-long customers
  • Performs preliminary investigation of general liability incidents including case creation, fact gathering and appropriate interaction with involved parties
  • Leads event staff hiring events, ensuring adherence to policy and procedure and making hiring decisions
  • Analyze feedback received through multiple channels; use data to inform recommendations for changes to training and/or operational procedures
  • Assists in resolving employee concerns and other barriers to developing a customer-first environment
  • Responsible for managing secret shopper program and supervising associated staff

  • Responsible for development and execution of recognition program for part-time staff. Other duties as assigned

QUALIFICATIONS:

  • 5 years direct customer services experience required
  • 1 year direct supervisory experience required
  • 6 years experience in a professional environment or equivalent combination of education and experience
  • Bachelor’s degree in Business, Hospitality Management or a relevant field highly preferred
  • Possesses excellent written and verbal communication skills; strong reflective listening skills
  • Possesses keen interpersonal skills with a customer-first attitude
